CLUBHOUSE RENTAL POLICY

In order to ensure the safety and success of your event, we would like to stress the importance of the following policy.  Please read it carefully as you will be held responsible for implementation of all items.  Failure to follow these policies may result in additional fees. 

1. The reservation and use of the facilities is restricted to Nellie Gail Ranch Owners Association members for their personal use only.  The use of the facility may be restricted by the Association for violation of the rules, delinquent assessments, or deliberate abuse of the Nellie Gail Ranch facilities or common areas.
2. Reservations are taken for Friday, Saturday and Sunday evenings 6:00pm – 12midnight including set-up and clean up.
3. Clubhouse reservations are a minimum of four (4) hours and a maximum of six (6) hours.
4. Tenants who wish to reserve the facility must have the property owner complete and sign the rental application and all fees must be paid by the property owner.
5. The property owner or adult tenant on lease must be present at all times.
6. The facility may be reserved no more than three (3) months in advance.
7. Maximum occupancy is 73.
8. Smoking inside the Clubhouse is prohibited.
9. The reservation of the Clubhouse facility does not include use of the tennis courts, pool, spa or the water play area by attendees of the event.
10. The reserving owner(s) are responsible for assuring their guests abide by all rules.
11. No reservations are accepted on Holidays.
12. The reservation area includes the Clubhouse room and tennis patio only.
13. The facility may not be used for personal financial gain or commercial activity.
14. Open flames are not permitted at any time, with the exception of chaffing warmers.  Any additional equipment such as ovens, electric appliances, cookers, popcorn carts, machines, etc. must be approved at the discretion of the Board of Directors or Management in advance of the event and may require an insurance rider.
15. The premises, including restrooms, outdoor area & Clubhouse must be left in the same condition as before the event.
16. Music is permitted during the event; however, it must be contained inside the room and must end or be turned off by 10 pm.

FEES:

1. Rental fee (non-refundable) - $75.00 / hour
2. Deposit fee (refundable) - $500.00
3. Attendant fee (after Tennis Club closes) $20.00 / hour
4. Live entertainment – additional flat fee of $30.00

Fees are required at time of booking.  Separate checks must be written for fees & deposit.  No refunds will not be issued for cancellations after 48 hours of the rental date.
The deposit will be returned by mail the month following the event, provided all policies have been adhered to.  Fines may be assessed if policies and guidelines are violated and will be deducted from the deposit.  If damages exceed the   amount of the deposit, payment is due immediately.
Minimum of $1,000,000 liability & property damage insurance naming Nellie Gail Owners Association as additionally insured must be submitted 1 week prior to the event.
In accordance with California State Law, no one under the age of 21 shall be served an alcoholic beverage while on the premises.  If alcoholic beverages are served at the rental function, no minors are to be present without a consenting parent or guardian.

FURNITURE:

1. Four (4) oval tables, 27 chairs, 2 sofas, and 4 glass tables are available for use and may not be removed from the room.
2. The renter shall arrange for all equipment deliveries and pick-ups on the day of the event within the rental time.  If additional time is needed such as next day pick up of rental equipment, prior arrangements must be made with management 2 weeks prior to the event.
3. NGROA is not responsible for items left, lost or stolen before, during or after the event.
4. Tables and chairs cannot block exit doors.

CLEAN-UP:

1. The room must be returned to its original set-up.
2. The renter is responsible for room and kitchen area clean-up which includes but not limited to: kitchen area, counters & tables wiped clean, carpet vacuumed, all food removed from refrigerator, removal of trash and decorations.
3. Bring extra trash bags to dispose of trash properly.  Trash should be placed in the dumpster located in the parking lot.  Trash left in the room or in the trash cans in the facility might be subject to an additional fee.
